How to sign a PDF without printing it

The old routine — print the PDF, sign it with a pen, scan or photograph it, email it back — wastes twenty minutes and produces a blurry, crooked page. Every part of it is replaceable. Here’s how to sign a PDF without printing anything, wherever you are.

On an iPhone or iPad

The fastest path if the document is in your email right now:

  1. Built-in: open the PDF → Markup (pen icon) → +Signature → draw with your finger → place it → Done. Fine for a one-off.
  2. On a Mac

Open the PDF in Preview → click the Markup toolbar → Signature → create one with the trackpad or by holding a signed piece of paper up to the camera. Preview saves it for reuse. Place, resize, export.

On Windows

Adobe Acrobat Reader (free) → Fill & Sign → draw or type a signature → place it. Or open the PDF in Microsoft Edge, which has a built-in draw tool for quick scribbles.

No matter the platform: get a decent signature first

Is a PDF signed this way “real”?

For the everyday documents this guide is about — leases, permission slips, freelance contracts, waivers, offer letters — a signature image placed on the PDF is the standard way these get signed in practice, and it’s what the sender expects when they email you a PDF. The honest caveats:

  • Whether any signature (ink included) is legally binding depends on your jurisdiction, the document type, and the parties’ agreement.
  • For high-stakes documents — deeds, court filings, notarized instruments — ask a lawyer or use a certified e-signature service with identity verification.
  • Prefer a flattened export (the signature merged into the page) over a floating annotation, so it can’t be moved or deleted downstream.
